Asset Tracker · Public buildings
In development · early access openEvery contract, every building, every renewal date, in one ledger.
For organisations that own public buildings. It starts with service contracts and renewals, then grows into building condition and capital planning, so the asset management plan stays current between consultant assessments.
School boards · Housing providers · Hospitals · Municipalities
The problem
Condition data is refreshed every five years. Budgets are defended every year.
Asset management plans are a legislated obligation for public owners, yet the data behind them is usually a consultant assessment that is out of date soon after it is delivered, and contract renewals sit in spreadsheets.
What it does
Built in the order a facilities team needs it.
First
Contracts and renewals
- Every service contract by building: vendor, scope, value, term and notice period
- Alerts before a notice period closes, to the person who owns the contract
- Import from the spreadsheet you keep today
- A log of every change, for audit
Next
Building condition
- Components by building, with condition, remaining life and replacement cost
- Hazardous materials status
- Condition updated as work is logged, not once every five years
Then
Capital renewal forecast
- A ten-year spending forecast that moves as each job is completed
- The figures a board or ministry submission asks for
The contract ledger
Renewals in date order, with the day to act.
| Building | Contract | Vendor | Ends | Notice | Act by |
|---|---|---|---|---|---|
| Building B | HVAC service | Vendor 3 | 2026-12-31 | 120 days | 2026-09-02 |
| Building A | Elevator maintenance | Vendor 1 | 2027-03-31 | 90 days | 2026-12-31 |
| Building C | Snow clearing | Vendor 4 | 2027-04-15 | 30 days | 2027-03-16 |
| Building A | Fire alarm inspection | Vendor 2 | 2027-06-30 | 60 days | 2027-05-01 |

How it is bought
Small enough to start without an RFP.
Contract tracking is priced to sit under a director’s purchasing limit. Condition and capital planning are added per building, per year, once the ledger is in use.
- Nothing to install. Runs in the browser; your spreadsheet is the first import.
- Your data stays yours. Each organisation’s records are walled off from every other, with roles for owners, admins and staff.
- An audit trail by default. Every change to a contract or a role is logged with who made it.
